The Role
We are seeking a mid-level Project Manager with three plus years of experience to join our fast-paced agency. This highly organized and confident communicator will be the central point of contact across the account and all departments, ensuring projects are executed efficiently, on time, and within budget. You will be a calming and authoritative presence, effectively communicating priorities and championing established processes. This role could focus on all tactics including, social, digital, print and broadcast.
You will maintain a comprehensive understanding of all active projects, regardless of size, and expertly manage multiple projects simultaneously. Your exceptional organizational skills will be essential for tracking resources, costs, budgets, and securing necessary approvals.
What you’ll do:
Project Planning & Execution:
- Develop comprehensive project plans, timelines, and budgets, aligning with client objectives and agency resources.
- Manage projects from initiation to completion, ensuring seamless execution across all departments (Creative, Account Management, Media, Production, etc.).
- Proactively identify and mitigate project risks, developing contingency plans to address potential roadblocks.
- Ensure all project deliverables meet agency quality standards and adhere to established processes.
Communication & Collaboration:
- Serve as the primary point of contact for internal teams and clients, fostering clear and consistent communication throughout the project lifecycle.
- Facilitate effective communication and collaboration between cross-functional teams, ensuring alignment on project goals and deliverables.
- Schedule and lead key milestone meetings, providing clear agendas and actionable outcomes.
- Present project status updates to internal stakeholders and clients, highlighting progress, risks, and key decisions.
- Share relevant contact reports, meeting summaries, and project-related links to maintain transparency and keep all parties informed.
Tracking & Reporting:
- Develop and maintain a robust project tracker to monitor progress, resource allocation, and agency performance against key metrics.
- Collect, analyze, and maintain up-to-date project data for regular team reviews and performance reporting.
Client Relationship Management:
- Build and maintain strong, collaborative relationships with clients, understanding their needs and expectations.
- Proactively manage client expectations, providing regular updates and addressing concerns promptly and effectively.
- Identify opportunities to expand client relationships and contribute to agency growth.
Process Improvement:
- Continuously evaluate and improve project management processes and workflows to enhance efficiency and effectiveness.
- Contribute to the development and implementation of best practices for project management within the agency.
- Stay up-to-date on industry trends and emerging technologies related to project management and advertising.
Experience:
- Minimum 3+ years of project management experience, preferably within an advertising agency or related marketing environment.
- Proven track record of successfully managing multiple projects simultaneously, from initiation to completion, within budget and on schedule.
- Experience working with cross-functional teams, including creative, account management, production, and client.
- Familiarity with advertising agency and studio workflows, processes, and deliverables
- Excellent interpersonal and communication skills, with the ability to interact effectively with individuals at all levels.
- Proficiency in using project management software (e.g., Asana, Jira, Monday.com, smartsheets)
- Experience working with Content Management Systems (CMS) such as Kentico, WordPress, Drupal, Adobe Experience Manager, or similar.
- Strong organizational skills and the ability to multitask effectively.
- Proactive, flexible, and detail-oriented approach.
- Ability to work independently and take initiative.
